"Why should I spend $5,000 to automate a task that my admin staff does for free?"

I hear this objection constantly. It is the single most dangerous fallacy in business management. It assumes that because a salary is a fixed cost, the output of that salary is irrelevant.

To make an informed decision on technology investment, you must run the numbers. Here is the equation we use to justify the ROI of a Digital Sanctum engagement.

This is the simplest metric, yet often overlooked.

Let’s assume you have an Operations Administrator, "Sam."

  • Hourly Rate: $35/hr (excluding super/overhead).
  • The Task: Manually copying data from Shopify order emails into Xero invoices.
  • Time Spent: 4 hours per week.

The Math: $35 x 4 hours x 52 weeks = $7,280 per year.

The Investment: A custom Python script to connect the Shopify API to the Xero API might cost $2,500 as a one-off project fee.

Humans are biologically incapable of perfect repetition. The industry standard error rate for manual data entry is approximately 3%.

If Sam processes 100 invoices a week, 3 of them will contain errors.
